How do I use Shift Management ?

1. Set Up Users for Shift Management

Assign Shift Manager License:

  • Create a TimeTracker user in Salesforce.

  • Assign a PK4 license with the “Shift Manager” module to the user.

  • Ensure the user has the necessary permissions to access the Shift Management module.

2. Create Teams and Assign Employees

Create a Team:

  • Navigate to the “TT Teams” tab in Salesforce.

  • Click “New” and enter the Team Name.

  • Save the team record. 

Assign Employees to Teams:

  • Open the team record.

  • Add employees to the team by selecting them from the list.

  • Assign a Team Lead if necessary.

3. Set Up Shift Locations

Create a Shift Location:

  • Navigate to the “Shift Locations” tab.

  • Click “New” and enter the required details, including location name and weekly off days.

  • Save the shift location record.

4. Create Shifts

Define Shifts:

  • Navigate to the “Shifts” tab.

  • Click “New” and enter shift details such as name, start and end times, and associated shift location.

  • Save the shift record .

5. Assign Shifts to Employees

Assign Shifts:

  • Navigate to the “Shift Schedule” tab.

  • Select the desired location to view available shifts.

  • (Optional) Filter by team to assign shifts to specific groups.

  • Drag and drop available shifts onto employee names.

  • To remove an assigned shift, click the delete icon on the assigned shift tile.

Shift Management – FAQ

PK4 Shift Management is a feature within the PK4 TimeTracker app for Salesforce that lets you schedule, assign, and track employee shifts in a calendar-based view. It helps manage workforce coverage, ensures timely clock-ins, and links directly to time tracking for accurate reporting.

 

After installing the PK4 TimeTracker app from AppExchange, go to the PK4 Setup tab and enable the Shift Management module. Then assign the required permission sets to users so they can view or manage shifts.

Yes! You can create Shift Templates for commonly used time slots or roles. These templates make it easy to assign recurring or bulk shifts to multiple users without re-entering the details every time.

Once a shift is assigned, users can clock in and out only during their scheduled shift time. The system automatically tracks actual vs. scheduled hours, helping you manage attendance, overtime, and shift compliance.

Go to the "Shifts" tab, click New, and define your shift timings (e.g., Day, Night, Weekend) along with the shift location. Learn more here.
